Risk & Insurance Coordinator

Phoenix Investors • Milwaukee, WI

The Risk & Insurance Coordinator supports the company’s risk and insurance program across its real estate development and holding operations, logistics division, and construction division. This role is responsible for certificate of insurance (COI) administration, surety bond tracking, claims coordination, and maintaining accurate total insured values (TIV) across the property and asset portfolio. The position works closely with internal departments (legal, operations, project management, accounting) as well as external brokers, carriers, sureties, and vendors/subcontractors.

This role is well suited to a candidate with paralegal or contract-review experience—much of the work (interpreting insurance requirement language in leases and subcontracts, tracking compliance deadlines, maintaining organized documentation files, coordinating with outside counsel or claims adjusters) draws directly on those skills.

Certificate of Insurance (COI) Management

  • Collect, review, and track COIs from tenants, vendors, subcontractors, and third parties to ensure compliance with contractual insurance requirements
  • Review COI terms against underlying lease, subcontract, or vendor agreement language; flag gaps, expirations, or non-conforming policy language and follow up for corrected documentation
  • Maintain a COI tracking system/database and generate status reports for the Risk Manager and project teams
  • Coordinate with legal/contracts staff on insurance requirement language in leases, subcontracts, and vendor agreements

Surety Bond Tracking

  • Maintain a master log of performance, payment, and other surety bonds across active construction and development projects
  • Monitor bond expiration dates, renewal requirements, and project close-out/bond release timelines
  • Coordinate with the bonding agent/surety and project teams to obtain, update, and archive bond documentation
  • Track bonding capacity utilization and flag issues that could affect new project bonding

Claims Management

  • Serve as a point of contact for reporting and tracking property, liability, auto, and workers’ compensation claims across all divisions
  • Coordinate initial claim intake, documentation gathering, and communication with adjusters, carriers, and brokers
  • Maintain claims logs including status, reserves, and resolution timelines; escalate significant or high-exposure claims to the Risk Manager
  • Support loss-run analysis and claims trend reporting for renewal marketing and risk mitigation planning

TIV (Total Insured Value) Maintenance

  • Maintain and regularly update TIV schedules across the real estate portfolio, logistics assets, and construction projects in progress
  • Coordinate with property management, accounting, and project teams to capture new acquisitions, dispositions, construction-in-progress values, and property improvements
  • Support annual property insurance renewal submissions with accurate, current TIV data
  • Reconcile TIV data against appraisals, financial statements, and project budgets as needed

General Risk Management Support

  • Assist the Risk Manager with insurance renewal processes (property, GL, auto, umbrella, builder’s risk, pollution, etc.) by compiling underwriting information
  • Maintain organized records/files for policies, endorsements, audits, and regulatory requirements
  • Support internal audits and respond to insurance-related inquiries from lenders, partners, or auditors
  • Identify process improvements and help maintain/update risk management procedures and tracking tools

Required

  • 2 – 5 years of experience in risk management, insurance coordination, commercial insurance brokerage, paralegal work, or a related contracts/compliance role
  • Working knowledge of COI requirements, surety bonds, and commercial insurance lines (property, GL, auto, workers’ comp, builder’s risk)
  • Strong organizational skills with close attention to detail and ability to manage multiple deadlines/trackers simultaneously
  • Comfort reading and interpreting contract/insurance requirement language (lease provisions, subcontract indemnification, and insurance clauses)
  • Proficiency in Excel/Google Sheets; experience with COI tracking software (e.g., myCOI, Certificate Trakker) and/or RMIS platforms is a plus
  • Strong written and verbal communication skills for coordinating with brokers, carriers, sureties, vendors, and internal stakeholders

Preferred

  • Paralegal certificate/degree or equivalent experience in a law firm, in-house legal, or contracts administration role
  • Experience in real estate, construction, or logistics industries
  • Familiarity with builder’s risk and construction-related bonding/insurance requirements
  • Associate in Risk Management (ARM) or similar insurance designation (or progress toward one)
  • Experience with property management or project management software (e.g., Yardi, Procore)
  • Paid training, holidays, and vacations
  • Company-sponsored 401(k)
  • Benefits, including medical, dental, and life
  • Competitive wages
  • Access to our wellness program, which includes personal trainers, yoga classes, and an on-site gym
  • On-site meal preparation and service
  • Paid parking
